Data Retention

An important part of managing security and confidentiality for our customers' data is how long we retain the data and how we dispose of it.

At DepoScribe.ai, we focus on retaining the data you provide for the shortest time period we can, while still providing valuable transcription services. Below, we detail the major uses of DepoScribe.ai where you as a customer will provide data, and how we handle that information.

Jobs in DepoScribe.ai

When you create a job in DepoScribe.ai, you are providing several sets of data that we need to process to provide you with the Word document rough transcript. That data includes, but is not limited to:

• Audio recordings
• Speaker names
• Speaker contact information
• Event date and time
• Case name, number, parties, court, and jurisdiction

All of the provided data is used to produce a transcription document that is then stored in our systems.

The data provided and the resulting transcript document are retained by DepoScribe.ai until you archive the job. We retain the data to allow you to modify the job as needed or download the transcript again. This also allows us to provide support when you request it.

Deleting Job Data

DepoScribe.ai leaves control over the data being retained or deleted in your hands. Jobs can be archived at any time by you. When you archive a job, we mark all of the related data for deletion 7 days after you archive. We provide this 7 day waiting period in case of accidental archiving.

When data deletion occurs, we delete all related files (audio, word document, etc) and redact all PII data in our database. The only data we retain is the job identifier, date the job was run, and the duration of the job. We retain that information to ensure billing continuity and historical bookkeeping.

Audio Tools Concatenation

When you use the Concatenation Audio Tool in DepoScribe.ai, you are uploading audio files to DepoScribe. Those audio files are the only data provided. We use those files to provide the concatenated resulting audio file for you to use in DepoScribe.ai.

The data storage used for our Concatenation tool is set to an automatic data retention period of 7 days. All files uploaded and generated are automatically deleted 7 days after their creation.
